Property Project Prioritisation
There has been an increase in resource to support centres with property matters. However, as we work through WSP Tranche 3 Surveys, HAZMAT Surveys, PlaySafe Inspections and in-house inspections many high priority property matters have been identified that require urgent attention. Several of these have the potential to close a centre until rectified and this has led to delays in addressing non-urgent projects.
We need to pause all new non-urgent projects with a review date of 1 May 2025.
We are reviewing our processes to streamline the approval and implementation of works so that some work does not need to go through the full project approval process.
With centres coming across to Playcentre Aotearoa as branches, property support will continue to be provided. All non-urgent projects in the system will be considered through the usual process. Additional to our business as usual, we are planning property works for the next 10 years, ensuring all repairs, maintenance, and capital works are addressed. In addition, a minor and regular maintenance program is also being developed.
If you have grants that must be spent on a property project by a certain time, please contact [email protected] and identify a grant is involved in a project.
On another note, as an organisation we need to ensure that we meet the requirements as per the HSW Act 2015. To support this, we are using the SiteWise Prequalification process to cover our contractor third party liabilities. Sadly, this has resulted in losing some smaller contractors and we are investigating solutions for this. We appreciate your patience during this transition.
Contractors Onsite During Sessions
The Property Team are working hard with external contractors to help them understand that only urgent works (emergencies) can be undertaken during a Playcentre session. When contactors have to be present on a session the contractor must be overseen by either a Playcentre staff member, or if no one is available, then by a designated centre member, who will be guided by the property team as to what this looks like.
We are bringing this in to enable us to proceed with works as quickly as possible by removing the need for us to Police Vet every external contractor.
We very much hope to have your help with this to enable us to expediate urgent repairs promptly.

Hires Process
Hire T&Cs
If your centre hasn’t hired out previously and wish to do so, please download the form 12.2.1 Hire of Playcentre Buildings from our website, fill out the form and email it to [email protected] to have hire T&Cs created for your centre. The form is electronically editable which should help save time needing to print, scan etc.
All hirees of a centre must be provided with a copy of the centres hire Terms and Conditions (T&Cs). Hire T&Cs are put together and edited by the property admin team.
If your centre already has hire T&Cs and simply require them updated, such as a change of emergency contact details, please email [email protected] with details of the required changes.
Hires
All hirees are required to complete and sign a hire form: 12.2.2 Application for Hire. The form is electronically editable which should help save time needing to print, scan etc.
Hire applicants are required to complete the form fully and sign in two areas – the insurance section (6a) and also the confirmation section toward the bottom of the form.
A centre member is required to complete and sign the section ‘Application Supported by Playcentre Committee’.
The form can then be emailed to [email protected] for final approval.
For hires greater than 24 hours (any hires where option 3-6 are selected) the hire applicant must provide their insurance policy number. If they don’t have insurance, please speak to the Property Team.
Once the hire form is returned to the centre completed (with insurance policy number if required) and signed in both areas, and the centre have assessed the hire and signed the relevant section to support the hire then please email the form to [email protected].
The time taken to approve a hire can depend on factors such as whether landlord approval is required so we please ask that any hire applications are emailed to Ask Property as early as possible.
We require all hires submitted to Ask Property at least 7 days prior to hire date (except centre member birthday hires which is 48 hours).
No hire can start onsite until approval has been received from the Property team.

New Baby…!
Congratulations to one of the Property team members who recently a welcomed a new baby daughter to the world. Marshall, who is the property manager for the upper north region of New Zealand, and his wife welcomed baby Marcelina Ferre Nusbaum on Friday 28th February.
Marshall is currently taking some leave to enjoy time with the newborn, his wife and family.
Keeping Safe with Gas
💀 Carbon Monoxide Can Kill!
Incomplete combustion can produce lethal carbon monoxide, which is odourless, colourless, and can cause death within hours.
Warning signs include:
⚠ Yellow-tipped or sooty flames instead of blue
⚠ Dust build-up or signs of poor maintenance
⚠ Unusual smells, rust, or visible damage
🚨 If You Smell Gas or Feel Unwell Inside Your Home:
🚫 Keep flames, cigarettes, and sparks away
🚫 Do NOT use electrical switches or mobile phones
✅ Turn off gas appliances and, if safe, shut off the gas supply
✅ Open windows and doors for ventilation
✅ If the smell persists, evacuate and call Emergency Services – 111
Runanga Building Painted
Runanga Playcentre recently completed the painting of their centre building and is just one of the projects this centre has had on the go recently.
The projects at the centre have involved a lot of work by the centre which has included obtaining sponsorship by a local pub charity, funding help provided by the local council and skills donated by local trades people.
The difference in how the exterior of the centre looks after being painted is amazing! Well done to all those involved at the centre.

Property Projects
Playcentre Aotearoa ask that all centres email the admin team: [email protected] at the very start of a project when you are initially thinking about undertaking any project. This information will then be distributed to the appropriate property team member who may be in touch to discuss any potential support or issues, guidance and advice that may be identified by the team. This is for both playcentre funding assisted projects and non-playcentre funded projects. This includes building and playground projects. This could prevent costly mistakes!
